Salary range: £32,076 - £34,834  pro-rata, per annum (actual salary £24,387 - £26,484 per annum)  

Work location: Base office: Oxford Register Office with regular travel to regional registration offices and approved wedding venues around the county. This is a hybrid working role. You may be required to work anywhere in the county based on operational needs, so will need the ability to travel independently to various and sometimes rural locations.

Hours per week: 28.13 on a 3-week shift pattern. 

Week 1 & 2: 20.73 hours to be worked between Monday to Thursday and 7.4 hours on a Friday.
Week 3: 20.73 hours to be worked between Tuesday to Friday and 7.4 hours on a Saturday.
Some Sunday and bank holiday working will be required as part of an on-call rota to co-ordinate response to emergencies and enquiries, for which additional payment will be made.

Contract type: Permanent 

Vetting requirements: This role is subject to the Registration of Births, Deaths, and Marriages Regulations 1968 (as amended). Candidates will be required to complete a Disqualification Form for working in the Registration Office.

Oxfordshire Registration Service plays a key role in supporting the public through some of their most important life events through the legal registration of births, deaths, marriages, civil partnerships and citizenship, as well as baby naming and renewal of vows ceremonies.
 

About the role

 

The Ceremonies Team Leader will line manage a team of part-time annualised hours / casual Ceremony Officers working up to 117 hours per annum (circa 3 hours a week), ensuring that they are equipped to deliver an exceptional standard of service within legal frameworks to customers, guests and stakeholders at marriage, civil partnership, citizenship, and other celebratory ceremonies throughout Oxfordshire.


The Ceremonies Team Leader will provide technical advice and guidance to Ceremony Officers, conduct 1-1 meetings proportionate to the frequency of their work, manage their performance, agree objectives, deal with HR matters, mentor and coach them and promote their wellbeing. They will also recruit new staff and oversee their induction and training period.


As well as managing a team, the Ceremonies Team Leader will ensure that documents and processes are in place for ceremonies to be delivered efficiently, assist the Customer Support Team with ceremony enquires and bookings, build and maintain good working relationships with approved premise venues and other stakeholders, and work with the Ceremonies Manager to promote Oxfordshire ceremonies.

 

When required the Ceremonies Team Leader will undertake the registration duties of a Deputy Registrar / Deputy Superintendent Registrar to conduct and register marriage and civil partnership ceremonies, non-statutory ceremonies, and citizenship ceremonies along with associated administrative duties at registration offices, approved premises, and other approved locations across Oxfordshire. 

 

 

About you

 

As a Ceremonies Team Leader, you will have a good understanding of registration practice and experience of conducting and registering marriage and civil partnerships. You will have experience of working in a customer focused service and be confident in dealing with people with tact, diplomacy and integrity at pivotal moments in their lives, and resolving complex and sensitive issues within legal frameworks.

 

You will have excellent communication skills and a smart professional appearance appropriate to delivering ceremonial services. You will have the ability to interpret and explain complex legislation to a diverse range of audiences in a clear and understandable way.

 

You will be a proficient user of Microsoft Office and be familiar with, or willing to learn, other applications used in the registration service including Staff Savvy, Stopford, Capita and RON.  You will be interested in embracing new technology to improve processes and customer experience.

 

You will be highly organised with the ability to prioritise competing demands appropriately to ensure deadlines are met. 

 

You will have experience of supervising or mentoring staff, leading by example, motivating and coaching them in order to develop their technical knowledge and provide excellent customer service and continuous service improvement.  You will also be willing to collaborate and co-work with the other Ceremony Team Leaders, Ceremonies Manager, Customer Support Manager, Training and Development Officers, Registration Support Manager and Business Manager to achieve the most consistent and effective outcomes for the Registration Service.
