HC3S is Hampshire County Council’s in-house catering service. Working in the Castle Catering department, supporting the Unit Manager and Deputy Unit manager to provide an effective catering service. You will be responsible for recording all transactions, producing the necessary documentation to meet the requirements of the business.

Job Purpose:


Undertake a range of administrative functions, under direction, following prescribed corporate and departmental processes and procedures.


Maintain manual and electronic storage and information systems to ensure accurate and up to date information is readily available, collating input and output information. 


Act as first point of contact for general enquiries and reception, responding within standard procedures or referring the enquiry to an appropriate destination. 


Maintain lists of contacts to deal with a range of customer requirements.


Undertake research under direction to support the activity of the department.


Role Responsibilities:


Assist in completing accurate financial information.


Assist in completing daily reports for daily income.


Assist in collating monies ready for banking.


Compile Sales Control Sheets for Food & Beverage Manager.

Issue invoices and record payments.

Check suppliers’ invoices and pass to HC3S Finance Team for payment.

Cashing up and balancing till transactions, check accuracy and convey figures to Food and Beverage Manager / Deputy Manager.


Investigate any shortfall where applicable.


Prepare financial documentation in accordance with the client. 


Check cash banking and prepare banking sheets.

To liaise with customers, establish any areas of dissatisfaction and bring them to the attention of the Food & Beverage Manager / Deputy Manager.

To establish daily contact with the Duty Catering Manager, ensuring an exchange of information.


Take telephone bookings, enquiries etc.

Stock taking and process stock sheets


All under the direction of the Food and Beverage Manager / Deputy Manager.


Role Requirements:


Essential knowledge skills and experience:


GCSE or equivalent in Maths and English. 


Ability to carry out general administrative roles.


Computer literate in the use of a variety of software for data handling and transmission.


Effective communication skills.


Cash handling experience.
