The Role:

As the County Council's category lead for common use goods, County Supplies acts as a procurement specialist and buying agent to corporate departments, Hampshire schools and other local authorities for a range of goods. At County Supplies we pride ourselves on maintaining the excellent relationship we have with our customers and going the extra mile to reach and exceed our customers’ expectations.

What you’ll do:

Business Support and Administration 

  • Provide comprehensive business support to the Customer Relations, Logistics and Buying teams. 
  • With support and supervision, create, maintain and update budget plans and forecasts including responsibility for creating a monthly trading account and updating senior managers on the financial position. 
  • Generate routine and adhoc reports to support operational monitoring and decision-making. 
  • Support financial processes including invoicing, credit and debit memos, and customer debt monitoring and recovery activity. 

 

Systems and Data Management 

  • Use business systems and databases (including SAP and Microsoft 365 applications) to input, maintain and retrieve information. 

 

Customer and Stakeholder Support 

  • Act as a point of contact for internal and external queries, providing clear, professional and timely responses by phone and email. 
  • Liaise with customers, suppliers and internal teams to resolve issues efficiently and courteously. 
  • Escalate complex issues appropriately, ensuring customers and colleagues are kept informed. 

 

Problem Solving and Continuous Improvement 

  • Investigate and resolve service issues, discrepancies and queries within agreed time limits. 
  • Contribute to the review and improvement of business processes, identifying opportunities to improve efficiency and customer experience. 
  • Follow agreed procedures while demonstrating flexibility to meet service demands.

Every day will bring something different as you deliver high quality administrative, financial and customer support. You will have a polite and confident manner, experience in business support and ideally some exposure to financial processes. You will be comfortable using Microsoft 365, including Word, Excel, Outlook and SharePoint, and you will bring strong organisational skills with excellent numeracy and literacy. 

 

You will be someone who can stay calm under pressure, meet deadlines and work well as part of a team. Experience with SAP is helpful but not essential. There is plenty to learn about our service and you will receive full training and ongoing support to help you develop in the role.
